We built a free Santa sleigh tracker for community groups

Every December, the same question goes round a thousand WhatsApp groups: “Is Santa coming to our street, and what time?” The answer usually lives in a Facebook post from three weeks ago, a photo of a handwritten rota, or a PDF nobody can read on a phone. So we built something better, and we’re giving it away.

santatracker.uk is a free, live Santa sleigh tracker for community groups. Rotary clubs, Round Tables, Lions, scout groups, churches, school PTAs, village committees — anyone who tows a sleigh round the streets in December to raise money. It takes an evening to set up, it costs nothing, and it works on the phone in somebody’s coat pocket at half six on a wet Tuesday.

The problem nobody had solved

Sleigh collections are one of the great bits of British community life. A group of volunteers, a trailer, a sound system and several hundred hours of goodwill, raising thousands for local causes over three weeks. The organising is heroic. The communication is, almost universally, terrible — and not because anyone is doing it badly.

The problem is that a sleigh rota is live data being published through static tools. A Facebook post cannot tell you the sleigh is running forty minutes late. A PDF cannot say tonight is off because the roads have iced. And neither can answer the only question a parent standing at a cold front gate actually has: where is it now?

There are Santa trackers, of course. Google and NORAD both run beautiful ones. But they track the Christmas Eve flight — the global one. Nobody had built the thing that answers “is the sleigh coming down Debdale Lane on the 8th?”

What a club gets, free

A club signs up, types in their rota, and gets a proper public page at their own address — something like santatracker.uk/clubs/mansfield-rotary. On it:

• A live status card. It works out from the clock whether the sleigh is out right now, out later today, back tomorrow, or finished for the year — and counts down to the next appearance.
• “Is Santa coming to my street?” A search box across every street, estate and venue on the rota. No match gives a friendly nudge to email the club rather than a dead end.
• A map with colour-coded pins showing which nights cover which parts of town.
• The full rota, with a December calendar strip, filters, and a star to save the nights you care about.
• Add to calendar — a proper .ics file with an hour’s warning, so it lands in the phone that will actually be in a pocket on the night.
• A cancellation banner the club can put up in one tap when a night is called off for weather.
• Their donate link, front and centre, plus a fundraising thermometer.

There are ten themes, so a Round Table page doesn’t have to look like a Rotary one. And the whole thing can be embedded on the club’s own website with one line of code — update the rota once, and both stay in step.

The one paid bit: watching the sleigh actually move

The tracker is free and stays free. There is exactly one paid add-on, because it is the one thing that needs a server watching a moving vehicle: Sleigh Live.

One volunteer opens a link on their phone, taps a big button, and puts it in their pocket. From that moment families watch the sleigh move along the street in real time. No app to install, no Play Store, works on iPhone and Android alike — it is a web page, deliberately, because asking a volunteer to install something at 5pm in December is asking too much.

It queues positions when the signal drops, which matters more than it sounds: rural Nottinghamshire is full of notspots, and losing the route because a lane had no bars is the failure that actually happens. And if a phone stops reporting for three minutes it drops off the map entirely, because a stale pin telling a family Santa is on their street is worse than no pin at all.

One Santa, a lot of helpers

Worth saying plainly, because it shaped a lot of the design: this is a product used by children. So the framing throughout is that there is one Santa, and these community groups run his network of helpers so he can be everywhere he needs to be before the big night. Nothing on the site implies otherwise. It is a small thing that took real care to hold consistently, and it is the sort of detail that decides whether a parent is happy to hand over the phone.

Why we built it

It started as a one-off. We built a tracker for the Rotary Club of Mansfield’s sleigh — a single page, hand-maintained, no accounts. It worked well enough that the obvious question followed: why does every club in the country have to solve this separately?

So we rebuilt it as something any group can use in an evening. Mansfield Rotary are the first club on it; there is room for everyone else.

We are a web design and development agency in Mansfield, and this is the kind of work we like most: a real problem, a specific community, and software that has to survive contact with a cold Tuesday in December rather than a demo.
